This is the GDPR Privacy Policy for Helly Barnes - Professional Coach.

The type of personal information collected:

Helly Barnes – Professional Coach currently collect and process the following information:

  1. Personal identity data - Title, name(s), marital status, date of birth, gender.

  2. Contact data – billing address, email address, telephone numbers.

  3. Financial data – bank account and payment card details.

  4. Transaction data – payments made between us.

  5. Technical data – website collection data – browser type and version, browser plug-in types and versions, time zone setting and location, operating system and platform and other technology on devices you use to access this website.

  6. Profile data – may include your interests, preferences, feedback and survey responses.

  7. Usage data – how you use the website and the services offered.  Helly Barnes has a separate Cookie Policy which can be found by clicking here or it is available on request.

  8. Marketing and communications data – marketing communication preferences.

  9. Sensitive data – may include race, sexual orientation, health status.

 

How your personal information is collected:

Most of the personal information collected is provided directly by you for one of the following reasons:

  • Ordering a coaching service so that a contract can be established

  • Subscribing to the website or publications

  • Requesting marketing products or resources be sent to you

  • Entering a survey or prize draw

  • Providing feedback

  • Payment processing

 

Data is also collected indirectly when you use or view the website using your browser’s cookies (see additional Cookie Policy).

 

How your data is used:

Your personal data will only be used when legally permitted.  

Data is collected to enable Helly Barnes – Professional Coach to undertake business activities which include:

  • Marketing and information

  • Establishing appointments

  • Application forms and other forms and contracts to establish a coaching relationship with you

  • Consultation forms

  • Client notes

  • Surveys and evaluations of the services provided

Your information will not be shared with other organisations or individuals unless it has been discussed with you first, serves a beneficial purpose to yourself and you have consented.

 

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Helly Barnes;

(b) I have a contractual obligation within the contract established with you to provide a coaching service.

(c) There is a legitimate interest.

Where you opt out of receiving marketing communications, this will not apply to personal data provided as a result of a service purchase, established contract or other transactions.

 

How your personal information is stored:

Your information is securely stored electronically through the website and a secure and private database. 

I have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where I am legally required to do so.

 

Very few paper records are kept but if hard copies are necessary, they are securely stored and only I (Helen Barnes) have access.

 

Data Retention:

Your personal data will only be retained for as long as necessary to fulfil the purposes it wascollected for, including for the purposes of satisfying any legal, accounting or reporting requirements.
 
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which I process your personal data and whether I can achieve those purposes through other means, and the applicable legal requirements.
 
By law, it is necessary to keep basic information about customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.
 
In some circumstances you can ask for your data to be deleted, as per above.

 
In some circumstances, your data may be anonymised (so that it can no longer be associated with you) for research or statistical purposes in which case it may be used indefinitely without further notice to you.

Your right to rectification - You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask me to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that I transfer the personal information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights as listed above. If you make a request, I have one month to respond to you.
